Update of "paid externally" feature
Option to choose payment method: switch from online payment to payments outside of NRYFStevne has been enabled for shows in „registration open“ stage and all further status (closed for entries, live etc). This feature allows confirming an entry or product by organisers disregarding the status of event (previously this has been possible for entries with results) and removing the entries from shopping baskets of athletes. The option is available from Masterlist / Products list / Results and Finances -> Cashier tab (where the function is usually present).
In Masterlist, click on Actions -> Payment options
- Please note:
- When entry is registered by athlete, by default it ends up in shopping basket, OC can then find the entry either in Masterlist, Results or in Finances and change the payment option from online to offline (external payment).
- As soon as the payment option is changed to offline (disregarding, if offline payment is confirmed or not) the entry´s status will change from draft to confirmed. That means that this entry will not be unregistered after deadline for online entries.
- If administrator would like to change the status back to „online“ – it is possible – the fees then will be put to shopping basket, but the entry´s status will still remain „confirmed“ and entry will not be unregistered after deadline. If it should be unregistered, administrator can check the payment status and delete entry from masterlist manually before exporting entries to the scoring system.
- The same principles apply also for the Products. Products can be marked as paid externally from the Products list or Finances.

New features and updates related to results management
- Allowing changing results after event has been financially closed. We have done a technical maintenance of the changes that can be made to entry or result after event has been financially closed and now it is allowed to change results´ details, such as rank, scores etc also after all transactions are disabled. The only parameters that cannot be changed are statuses (i.e. participated, no show etc) and late entry flag - as these parameters results in the changes of payables.
- Introducing a special flag "Prevent changes by importing results". After results has been manually changed by administrator showing the special flag indicating that these changes will not be reversed after the next results´ import from Equipe:
- "Prevent changes by importing results" - means that the results´ details will not be changed by the next import from Equipe. If the flag is removed and results saved, then this will mean that Equipe´s import will change the result. We have had a couple of such cases, when Organiser changed something and wanted to get results updated from Equipe, but the override was blocked. This flag will help to understand, if there have been manual changes of result and if Equipe´s data is correct removing the flag will allow to override the result.
- "Prevent changes by importing results" for payment options settings for entries - by default, if entry has been marked as paid externally, the setting will not be changed with the next import of results from Equipe APP. In the "Payment options" interface there is a special flag allowing removing the blocking, if some correction is needed.
- Preventing organisers to make changes in results´ list, and to mark some entries as paid externally, when results´ import is still ongoing and results are being processed. When results are processed, there will only be public view for results available, no edit view. NRYFStevne will switch to edit view, as soon as the import is completed.
- A log to track the import of entries alongside the possibility to download the imported file has been added for the administrators of the system. The log also includes processing error details and timestamps for imports.

New feature
Administrative view in Calendar to facilitate committees´ and organisers´ work on the future events and assigning the officials
- New Calendar view allows working with events´ settings direcly from Calendar without visiting the events´ page, the following features are made available:
- Changing statuses, i.e. proposing event for publication, accepting, declining, opening for entries, deleting and cancelling
- Changing dates -> user will be navigated to edit event form, dates´ section and can review and change dates
- Editing event and Cloning event
- Adding notes - adding notes has been made allowed in all event statuses, not only in relation to the change of the status
- Editing public contact information -> user will be navigated to the edit event form, contacts section
- Adding and editing official, i.e. assigning officials to roles, removing officials from roles in event
- Two additional filters added to the Calendar view:
- Filter allowing searching for events, where certain role, i.e. Overdommer or Steward etc, has no assignments
- Filter allowing highlighting official in the list of assigned officials in events.
- Under Downloads, a new excel output added to download the Calendar proposals and check the assignments of officials. In the file, the events are sorted by months and weeks, the basic information is added on each event, including the levels of the classes planned under event, start and end dates, organiser and venue. In addition, the list of assigned officials added to each role configured in the system.
- A special check (warning) has been added for double assignments of officials for the same period of time. It also checks the assignments for the same event in different roles. When someone tries to add a person for the event on the same days, the following warning will appear:

Majour technological update
For 2024, we have planned the majour technological updates of both the platform and the programming language NRYFStevne is built on. In September 2024, we have rolled out these significant upgrades to the system. These two updates alongside the update of the database that we have done in NRYFStevne in spring and the update of the data exchange layer technology last year will ensure that we continue to maintain the efficiency and sustainability of NRYFStevne.

Improvements to existing prize money features
- Prize money contacts will be populated automatically from athlete´s default prize money contacts, when administrator switches the "prize money service" for event after results have been published.
- Prize money payouts forms and report can be recalculated when prize money are changed under the results. To make a correction, OC can change the prize money amounts under results, access the Finances -> Prize money tab and click on "Generate prize money report" button. All not confirmed payouts will be recalculated.

New feature to support payments for FEI entries´ administrative fees
- Several developments have done to support the change of regulations implying charging 30 kr administrative fees for definite FEI event entries and 100 kr for a late entry per equipage / FEI event.
- The collection of payables have been automated as following:
- After FEI results for a show have been transferred to NRYFStevne and published, the system analysis the results and issue a payable of 30 kr for a definite entry to the athletes´ shopping basket. A definite entry is an entry with at least one result under the competition of the event. The athlete / horse combination is charged one time per show, even if they have been competing under several events within one show.
- If NRYF FEI administrator does a late entry, administrator has a possibility to add an additional fee on this entry that will be put immediately to the shopping basket of athlete and available for payment.
- Athletes will get reminders of not paid FEI events administrative fees and their accounts (possibilities to enter competitions) will be suspended, if entries are not paid on time.
- NRYF administrators can track the paid and not paid administrative fees from the Backoffice - Sales interface, as well as from Masterlist of the respective show, using the "Payments status" filter.
- A special output has also been created for accounting service at NRYF to track the payouts of the fees.

- Clone event functionality - improvements have been done to allow cloning multiple day event to a single day or cloning of events with different number of days, for example, a 3-days event to a 2-days event.
The check of the suspension logic (only administrative suspension, recorded manually, not automated debts tracking) for athlete and horse in entry form has been updated:
- previously the check worked based on if athlete or horse is suspended currently, for the moment, when entry is done;
- after update, the entry form´s check respects the start date and end date of suspension, for example, if you mark suspension for the future period of: 1.09-31.12.2024 - athlete / horse can in July 2024 still enter events that start before 1.09.

- Organizers and NRYF administrators can now substitute horse or substitute athlete for entry or product or group of entries and products.
- These functions will be of help to correct situations, when a wrong horse or athlete added to entries.

- We did a small update of the buttons on event page for administrators and organisers. Actions button will have a “notes” icon, when there are some notes added under the event, for administrators to see that there is something to check.
- In Dashboard there a 3rd box with statistics added, where organisers can see the number of entries per status

Improvements to events´ management features
The following functionalities upgraded or added:
- Event - Masterlist - new csv. format for import of entries - format allowing "flat" import of entries (each entry is on separate line). To retrieve the file: Event - Masterlist - Import entries - Entries CSV format. Currently available in Jumping, Dressage, Endurance and Eventing. Other disciplines will be added soon.
- Admins can now change competition settings also when schedule is approved and entries are ongoing, including competition level (club, district, national etc) and difficulty level (100 cm, 115cm, 120cm etc). The logic is that these settings can be changed by users that have permissions to approve the schedule. When changed, the fees recalculations will be triggered and if something has to be paid extra, the fees will be added to shopping baskets of athletes. To return the fees (for example, 25 kr should be returned), contact the technical support.
Feature to set up a date, when event with approved schedule will be open for entries. In the event edit form it is possible to set up the date for opening of registration. When date is set, the button Register will appear at this date, provided that the schedule is approved.
The riders will see the full schedule and that it is approved, but opening for entries is postponed and the date, when the event will be open for entries:
- E-mail of person responsible for entries (regisrert av...) is made available in masterlist - this will simplify sending an e-mail to this person by organizers. When clicked, an e-mail will be initiated via the mailing programme of user. There is a copy button on the right to copy and paste the e-mail. The e-mail will only be visible to users with permissions to see it.

Improvements in horses´ management
The following functionalities added or upgraded:
- New parameters introduced to the horse´s data model, such as color, studbook, ID document issuing body allowing full compliance with the FEI data model for horses
- In pony measurement application form, a name of veterinarian that conducted a measurement can now be selected from the list of approved veterinarians
- Documents section in horse´s registration and owner change applications updated: each requested document is listed separately and marked as required or not required. If full document (all pages in one file) is uploaded, page-by-page upload is not mandatory. Restrictions added on allowed types of files to insure compliance with the FEI standards
- Internal comments are brought to the horse´s profile for administrators to be able to see, add and edit comments
- Fix implemented to show the owner´s name on the horse´s profile correctly - if owner´s name changes (for example, change of family name or correction of typo), the name displayed on horse´s profile and in the starting lists in Equipe APP will change accordingly
- Ability to send horse´s data to FEI database via API created - this will allow prefilling horse´s data in FEI database and issuing the FEI ID - available only for admins.

New feature
Automatic tracking of debts in shopping baskets and suspending debtors from competitions
The feature of tracking of debts balances tracks debts´ balances based on payment deadlines and not paid fees in users´ shopping baskets and imposes an immediate block for new entries in entry form. User can see the badge "suspended (debts)" on his/her profile. After debts are paid, the suspension will be lifted automatically. For debts outside of NRYFStevne, federation and organisers can record debt balance manually either using the debts balances feature or the sanctions and suspensions feature.
Tracking has two options:
- automatic - debts balance (sum of all debts) calculated automatically based on shopping basket of a person;
- manual - NRYFStevne admin or organizer can specify and edit amount of debts, organisation that user has debts to, add comment visible for user and internal comment. Manual debt balances can be used, when person has debts to NRYF or event organisers outside NRYFStevne that cannot be tracked through shopping basket, for example, debt is based on an invoice. Organisers can only manage balances of their organisation. NRYFStevne administrators can add and edit manual debts balances for all organisations.
Automatic debt balances are recalculated after every transaction. When user pays online via shopping basket, suspension will be lifted. Debts information is sent to Equipe APP, when athlete is added as late entry via API. After debts are paid, the history of debt balances´ changes is not displayed.
In the person´s shopping basket, user will see Debts tab with description of debts. If administrator has added a note for user, user will be able to read it.

Improvements in user data management
- Gender field added to NRYFStevne and gender information synced from NIF. Additional statistical reports produced for NRYF based on gender of officials.
- In Shopping Basket, Payments and Payouts (Prizes and Refunds) split into two tabs, to improve the user experience, when searching for transactions. Search by organiser name and name of event is enabled to allow finding payments and payouts to concrete organizers and events.
- Add/edit user profile information the following fields added:
- comment fields for E-mail and Phone number added for users to be able to add notes regarding use of e-mail or phone number.
- Website field, if filled in, will be displayed on person profile. Can be used by service providers, for example, trainers, to record their website address.
- Internal note field - can be used by NRYFStevne admins to add notes on user account.

- In application forms, where e-mail field is frozen and cannot be changed by user, the validator of e-mail format disabled to allow submitting a form in a situation, when e-mail is invalid.
- Transfer of "Arrival and departure" notes to Equipe APP fixed for a situation, when this was the only type of notes added by user to entry form.
- Flow, when horse has an licence via riding school from the beginning of a year and after change of owner, another licence is purchased for the rest of the year, fixed to allow multiple annual licences for a horse.

- The list of roles offered for event is limited based on specifics of the discipline to avoid mistakes. In Jumping, the roles for Eventing or Driving are not offered, only roles allowed for Jumping can be filled in.

Showing entry rules in schedule and additional options for organizers to configure entry rules for a class
In NRYFStevne, most of the entry rules, such as licence checks for athletes, horses, athletes´ and horses´ min and max age are configured per discipline, competition level and taking into account also difficulty level. The new feature makes the checks visible in the schedule for users, when they click on additional details for the competition:
We show the global settings for the licence checks as well as settings for the categories selected for the class, including, athletes´ age, horses´ age and type of ponies, if pony if class is open for pony riders.
Organizers can set up additional rules for a class, when clicking on "+" button next to the rules description:
The following special conditions can be set:
- Athlete´s minimum and maximum age
- Horse´s minimum age and maximum age
- Horse´s / pony´s type (only horses, only big ponies, only small ponies)
- Athlete´s club and region (if competition is open to athlete representing certain region oronly certain clubs are invited)
- Horse´s gender (only for stallions, for example)
- Horse´s breed (only for Nordlands Hest breed)
When rule is configured, selected parameters will be checked in entry form and will be displayed for riders´ information in schedule:
Organizer can delete or edit the Rule set. It is also possible to give a rule set a short name or description that will be displayed for riders.
Organizer can configure more than 1 rule sets for a class. When several rule sets are configured the athlete/horse combination will be accepted, if they qualify for atleast one rule. This function is useful, when class is open for multiple categories of athlete/horse combinations. For example, for Children and Juniors with different age groups.
Please note:
- Data quality in NRYFStevne is quite good for the following conditions: athlete´s age, horse´s age, horse/pony type, horse´s gender.
- For certain clubs data that we get from NIF register may not be complete and this will have an impact on athletes´ region and clubs´ parameters.
- For horse´s breed selection - in some cases breed may be missing from horse´s profile and breed cannot be checked correctly.

Integration with FEI entry system: Phase 1
Entries to future FEI events are synced between NRYFStevne and FEI Entry Systems.
Users of NRYFStevne system can follow entries and their statuses via:
- for athletes: profile page - Upcoming tab - athletes can follow their future entries to FEI events, including changes of statuses;
- for sport enthusiast: Calendar - Event page - Participants list.
To find events, where there are accepted FEI entries:
- Open additional filters in Calendar - select FEI Stevne, remove Norway from countries filters and select "has accepted entries" from the Has Entries filter:

Fix: adding venue address for event
In add/edit event form, a small fix implemented to allow saving the venue address even if not found from google maps database. Venue GPS coordinates can be found, when moving the location on map to the correct place.

New feature: guardian contacts´ collection for athletes under 18 when registering to competitions in NRYFStevne
In compliance with regulations, name and contact person of guardian - horse responsible person should be provided for athletes under 18, when entering competitions. These contacts can be accessed and used by organizers and federation officials to communicate regarding the participation of athlete in competition.
For athletes aged 17 and below guardian´s data will be collected per event in the event entry form. When data is added first time, there is a possibility to save data under contacts and mark as default for future entries:
For next entries, data will be prefilled and can be changed if needed by clicking on the Edit button:
Athlete can add several contacts for guardians and select the correct one each time, when entering competitions.
- Organizers will get an access to guardian´s contacts through masterlist of the event, including export files. If entry is done in Equipe APP, guardian´s contacts will be prefilled when results are improted to NRYFStevne, if there is a default contact specified under athlete´s profile.
- Guardian e-mail address will be used for event-related communication.
Additional information:
- For Vaulting, one contact will be asked for the whole team (pas-de-deux or team), if atleast one athlete is under 18.
- If user has full rights to the athlete´s account, user would also have access to contacts and can add/edit contact information and select guardian for entries.
- If user has only rights to enter athlete to events, without full access to account, guardian´s contacts can be preselected from user´s account.
- Organizers and administrators can skip adding contacts, when adding entries in NRYFStevne for all other user groups contacts are compulsory to fill in.

New feature: saving and reusing contacts for receipts
We have added a feature for riders to start saving and reusing the contacts for receipts. When filling in the contact information for the payment, it is possible to choose to save the contact for the future and select if the contact should be a default for receipts in the future.
When changing contacts for a receipt, before payment is done, select if contact should be saved for future use and if contact should be set as default for receipts.
To manage contacts, go to your Profile -> Contacts tab
All saved contacts will appear under this tab. It is possible to edit and delete contacts or add new contacts. There are separate forms for persons and organizations.

New feature
New Calendar filters introduced to help finding the correct events and improve user experience after FEI integration for results was rolled out
Four new filters added:
1. "Country" - possible to search for the country, where event takes place. Multiselect filter. Default is always Norway. Norway should be removed if user is looking for international events with results in the past. Will be helpful, when entries to FEI events that take place in foreign countries will be introduced to NRYFStevne.
2. "Find event..." - filter helps finding events that have competitions marked as championships, team events and events marked as important (star events).
3. "Find quickly" - helps filtering events that will be closing for public entries soon (today + 2 days) and events recently open for entries (2 days ago).
4. "Has entries" - filter helps finding events with entries and in the future will be helpful to find out, in which FEI events the Norwegian riders will be planning to participate (after sync with FEI entry system will be activated).

Change in NIF integration logic
NIF data exchange logic changed in a way that user´s fields are "owned" by NIF only for club members. When person is not currently member of club, NRYFStevne cannot sync data from NIF and for such users address and contacts fields become open to edit in NRYFStevne. This change is beneficial in cases, when users do not want/need address and contact information to be set in NIF (for example, when person is not a club member and uses NIF only for NRYFStevne SSO login), but they need the address to be in NRYFStevne, because of administrative roles or being a horse owner.

New feature
Limit for the max number of horses per athlete
New type of limit released allowing organizers to limit the number of horses per athlete. Limit can be applied to a whole event, day, group of competitions or a competition. When limit set, the entry form will check how many horses the rider has already entered and prevent submitting more horses than allowed.
This limit can be used for setting up registration classes for international events, when OC has set the limit in the FEI entry system as well as for higher level events, where according to regulations athletes can take limited number of horses.

Pursuant to the adjustments of the NIF API, a user accounts duplicate management system has been improved. It allows tracking duplicate accounts management actions in NIF and based on data received, merging automatically the duplicate accounts in NRYFStevne.

Organizer can add a flag authorizing NRYF to send not paid entries and products to debt collector service
When marking an entry or product as paid outside the system, organizer can (in case the entry or product hasn´t been actually paid) select an option to flag the entry or product for sending to the debt collector service.
When flag confirming that payment has been received is removed, an additional debt collector option will appear for organizer:
To use debt collector, an organizer would need to issue an invoice via the club´s accounting. This invoice should cover all entries and products, including the one that is being processed. Enter the invoice number to the comments box. Be sure that all entries and products included into invoice will be marked as “paid externally” and have the flag “use debt collector”. Data on debts will be forwarded to debt collector at regular intervals on monthly basis.
Automatic messages reminding users of NRYFStevne of not paid entries and products have been updated and will inform of the possibility for sending not paid debts to debt collector.

A possibility to mark important competition in schedule with a "star" introduced and open for use to organizers. In Dashboard, it is possible, to highlight and remove highlight from a class. FEI integrations
Automatic import of results from FEI database launched
All 2022 results have been imported successfully from FEI database to NRYFStevne, in all FEI disciplines.
Starting from 1st of January 2023, the results will be synced on weekly basis. FEI ID-s for athletes and horses are used to match athletes and horses in FEI database and bring the results to NRYFStevne.
In addition, yearly FEI registrations for horses are synced from NRYFStevne to FEI database upon approval by the NRYF administrator.
On horse profile, showing the FEI ID and annual FEI registration has been improved

Three new features added to products management (custom fields section)
For each product, organizer can specify custom fields - additional questions to be answered or selections done, when product is booked. To improve data quality of user´s answers, the following features have been released:
- Adding a hint or explanatory text to additional questions that will be showed in registration form, when product is selected by user;- Specifying if answering the questions or making a selection is mandatory, when booking a product. New report for organizers
A new monitoring tool showing statuses of show reports for events since July 2022 added to Reports section of Organisations:
The report allows monitoring the progress of the compulsory reporting for D,L and E level shows. It also have some instructions for organizers on what can be done to improve the reporting rates.
The same tool is available to NRYF administrators allowing monitoring response rates and progress across all shows, regions, organizers and disciplines.

Changes in configuration of late entry payment deadline for shows
For late entries (entries added after registration end date via Equipe APP and imported with results to NRYFStevne), the deadline for payment is changed to the date, when results were published in NRYFStevne. Previously, riders had 5 banking days to pay for late entries. The change was done to ensure compliance with national regulations stating that entries should be paid by event start date.
For example, show ended on 10.10.2022. Results were imported 11.10.2022. The deadline for payments will be 11.10.2022, that means that rider will not be able to pay for new registrations until the debt for 10.10.2022 show is paid. Rider will get an automatic reminder 12 hours after results were published, 5 days after deadline passed, 13 days and 14 days after deadline passed.

New settings to regulate maximum number of entries and athletes introduced
In addition to max number of entries for competition, competition day and product, the following new settings have been released:
- max number of entries for the whole event
- max number of unique athletes for the whole event
- max number of athletes for competition day
- max number of entries for group of competitions selected by organizer
- max number of athletes for group of competitions selected by organizer
New settings cover the following cases in managing registrations:
- maximum number of athletes can be used for setting up pre-registration to international events or in some cases for very popular national events (limitations of max number of horses per athlete is scheduled for development as a complementary feature);
- maximum number of entries for group of competitions can help in regulating registration process for competitions, where there is a limited availability of judges and judges are expected to judge only a certain amount of combinations at certain level. For example, in Dressage, there can be several classes open to different categories of ponies. With this feature, there can be a general limit set for the sum of entries in these classes;
- organizer can also use the group of competitions feature to regulate the use of competition arenas. For example, if there are two arenas in use for a Jumping show and all classes are divided between two arenas, organizer can set up limitations in a way that the classes on the 1st arena will accept together 100 entries and on the 2nd arena - another 100 entries. This would help in regulating registrations to very popular events and prevent overbooking of certain arenas.
Activating settings:
- max number of entries and unique athletes for the whole event can be activated from the event edit form, when setting up a show, or from a Dashboard or Schedule:
- In event edit form - the limits are under General settings after the Discipline and Competition level;
- In Dashboard and Schedule, the limits can be set up from Registration rules and limits section (located after the competitions / before the Products and services):
- max number of entries and athletes for group of competitions can be set up from Registration rules and limits section (located after the competitions / before the Products and services)
- first select group of competitions - for example, classes 1, 2, 3 - the limit of entries or athletes will be effective for the sum of entries in the selected competitions;
- set up limits, please note entries and athletes can be set up together or separately.
- max number of athletes for competition day can be set up from the limits module for the respectful competition day from Schedule or Dashboard:
- when whole event or group of competitions max limits are set, users of the system will get a notification informing about the limits and number of free places left open for registration or number of participants (for unique athletes´ setting) that can still be registered to event:
- competition day´s max limits and class limits will be displayed in schedule and registration form as usually
- there are automatic controls of limits in registration form and in shopping baskets:
- only confirmed registrations are counted into the limits;
- for competitions and products, where online payments are required for registration, registration is considered as confirmed after the payment is done;
- for competitions set up to be paid outside the system, the registration is confirmed straight after registration form is completed and submitted.

Refunding direct payments for horses´ applications and licences
All direct payments for applications and licenses can be refunded from NRYFStevne. Additional feature allows refunding payments, when declining an application. After refunding, Stripe would refund payment to the card from where it was paid. There is a time limit of 2 months starting from the payment date, when refund can be made via NRYFStevne. If there were several payables in one payment, i.e. application fee, FEI licence and annual licence, it is possible to return money only for one or for several product. The payment will be refunded partially.

Cloning schedule, products and special provisions to existing event
Feature allows cloning schedule, products or special provisions to already existing and approved events. This will help in a situation, when event was approved to calendar and organizer needs to add schedule and products to open registration. Organizers that run many events per season can also start doing templates (events in draft status) that can be used to clone schedules throughout the season.
How to clone a schedule to existing event:
1. Select the source event (an event to clone from) and press on clone event button.
2. You will see two options: clone and create a new event and clone a schedule, products and/or special provisions to existing event.
3. When an option to clone schedule, products and/or special provisions selected, you can additionally specify whether you would like to clone only schedule, only products or/and special provisions.
4. Select an organizer and target event and press Confirm.
Please note that only future events of the same discipline and competition level not higher than of target event can be selected. Only empty events (no classes, products or provisions entered) can be selected. Always clone first schedule and/or products and then start editing the target event and adding other parts.

Improvement: rewamp of masterlist
Masterlist functionalities updated, incl new filters and search possibilities
Main changes:
1. Possibility to select information shown in Masterlist based on the users needs. Use "Show in Masterlist" filter to choose data you would like to see in Masterlist. The default is a clean table with minimum of information for quick navigation.
3. Search athletes or horses added to enable quick navigation to the registrations and athletes / horses´ data in registration forms.
4. New filters added:
- Athletes age range: minimum and maximum - Products filter - Entry payments and product payments. These filters allow searching for entries and products that should be paid online and is paid or not paid. It is also possible to search for entries and products that were marked as paid externally (either confirmed or not confirmed). - Cups and series filter - if show has classes with cups, this filter would help filtering all registrations and entries with the selected cups.

NEW feature: Equipe APP-NRYFStevne integration
Getting product lists back from Equipe APP to NRYFStevne and recalculating shopping baskets
This feature allows selling products in show office and collect payments online in NRYFStevne.
Basic work flow for the feature:
Step 1. Create product list in NRYFStevne as usual. Open registration and collect registrations for the product.
Step 2. Import entries from NRYFStevne to Equipe APP. Make changes in the registrations for products, including marking products as withdrawn with return of all fees or changed or no-show.
Step 3. Export classes and products lists results to NRYFStevne. Select ONLY those competitions and lists that you would like to export back to NRYFStevne.
Please note, you can always do changes in the lists and export results again, in NRYFStevne, necessary changes in products´ statuses and shopping baskets will be made automatically. Changes can be done until show finances is open in NRYFStevne, if all transactions and payouts are done and finances locked, changes in product lists will not have any effect.
In Equipe APP, the statuses for product lists are the same as used for competitions.

Special cases and tips:
1. Only lists previously imported from NRYFSteve can be exported back to NRYFStevne. Create all necessary lists in NRYFStevne before taking entries and lists to Equipe APP.
2. If in Equipe APP, only rider is added to the list, in NRYFStevne the product will be added to one of the registrations, where we have this rider. If you would like to add the product to particular registration, please choose also a horse.
3. If you would like to collect registrations in show office, but to invoice athletes and collect payments in NRYFStevne, create the product in NRYFStevne, mark that it should be paid online and lock the registration to the product (Dashboard -> Product -> Lock). When list will come back from Equipe APP, the product will be added to riders´ shopping basket as usual.
If you would like to return all fees for the product, please use Cancel product function in NRYFStevne. It would cancel all bookings and return fees to payers.

NEW feature
Marking booked product that requires online payment as paid externally (for example, in show office or via bank transfer)
A possibility to mark a product that requires payment through NRYFStevne as paid externally added to the system. If rider has paid product fees outside the system, for example, in cash in show office or as bank transaction or through invoicing, the organizer can mark this in NRYFStevne and specify if the payment is confirmed or not.
The feature works for products that require payment through NRYFStevne payment system. Products that are set up as open only for booking without an online payments option, are not impacted by this feature.
To mark product as paid externally, it is possible to use Products list or Finances - Cashier search. If product is not paid online, the paid externally button will appear:
1. The price for product will be removed from user´s shopping basket and from payables in the show wallet. 2. The product will appear in the Finances - External Payments section. Organizer can print a report as pdf or to download it in excel or csv. file format. 3. The product will be marked as confirmed and will not be unregistered after product registration deadline, if the Paid Externally function is used before the registration deadline.
Other improvements and changes:
1. In Products List, the Payment status filter improved, allowing searching for paid and not paid products and also confirmed and not confirmed externally paid products:
- Paid - includes all paid products online (through NRYFStevne payments system) and all products that are marked as confirmed and paid externally.
- Not paid - includes all not paid products that require payment online in NRYFStevne and all products that are marked as not confirmed paid externally.
- Paid in show office - includes all products that are marked as paid externally (including confirmed and not confirmed
- NB! Products that are only for booking are not included into paid, not paid and paid in show office indicators. Although these products are included in Base price.
3. Products List - excel and csv exports - we added information on confirmed and not confirmed external payments to be able to have full overview of the payment status for all products.

In the Dashboard, organizer can find basic statistics on not confirmed bookings per product, confirmed bookings, total prices for not confirmed and confirmed products and cancelled product (cancellations that are done after registration deadline).

Option to close product for public booking
During the time, when registration for a show is open, organiser can close public booking of a product or service. Closing booking will stop both new bookings and payments for already booked products in shopping baskets.
NB! Closing bookings and payments works only when show has registration ongoing! After the registration deadline, when registration is ended, the organiser has still the possibility to add products to registrations and athletes would have the possibility to pay for shopping baskets.
To close product for public booking, go to Dashboard and press on "Lock" under the Actions.

Cancel product feature released
If organizer needs to cancel product, for example, if it is no longer possible to offer the product or service because of emergency or any other circumstances, it is possible to use the function Cancel Product. This function will:
- unregister all paid and not paid products; - return all fees for already paid products (all paid sums will be put to returns account of the show); - close registration for this product - the product will remain visible with the sign that it is not available any more.
To cancel product, go to Dashboard, find the product from the products list and initiate Cancellation from the Actions menu:
Please note, cancellation of a product is not reversible. If product is cancelled, when show is open for public registrations, paid fees will be returned to payers next day.

Show reporting has been released allowing digitalizing the process of filling in, approving and taking notice of the officials´ show reports

From the NRYFStevne platform perspective, reports´ templates configurations are done in the backoffice, allowing adding new reports and/or changing existing report templates. Permissions to fill in and/or approve the reports are role-based and defined based on the official´s role in the show, i.e. overdommer, Chief Steward etc. A possibility added to assign also representative of a rider / trainer.
Almost all answers are prefilled and configurations done to highlight the answers that differ from usual (for example, lower scores for some parameters).
Notifications set up and automatically sent informing of the obligation to fill in the reports, to approve reports or review them after approval.
Statistics for number of athletes, horses, starts etc is compiled automatically based on administrative data of the show (results as exported from Equipe APP).

Adding custom fields to collect additional information from riders when they book products
This feature allows organizer to set up additional fields for users to fill in, when booking a product. This can be a question, for example, the number plate of a car for booking electricity or a checkbox with a single or multiple choices. There are also options to use dropdowns with a single or multiple choice. The feature works very similar to the form builders for surveys. As soon as additional fields are configured, the riders would see the fields in their registration forms and can start filling in the information requested.
How to add additional questions to a product?
1. In the add/ edit product form click on "Ask for additional information" and then Add button:
NB! You can delete and edit the questions before there are at least one booking.
3. Riders can start answering questions, when booking the product:
In the excel file, for each product with custom fields set, there will be a special tab and all questions / possible answers presented in the separate columns. We are working on getting the answers to Equipe APP to sync them in the products´ lists.

Limiting number of products to book or sell per registration
An option to limit max number of products a user can book per registration introduced. It can be used, for example, in case of limited supply of products (boxes or electricity).
Setting the limit for booking /purchase of product per registration is under Booking settings in add / edit product form. Please note that 0 means no limit
User, when booking a product with restrictions, will see the limit and based on the number of allowed bookings, the restriction will apply in the registration form.

For products, organiser can specify a registration end date different from the show provided that it is earlier than the registration deadline for a show. A full solution for managing suspensions and sanctions released
The following features introduced:
1. Federation administrators can define sanctions, including specify the effect of a sanction, i.e. not allowed to compete. 2. Federation administrators can define reasons for issuing a sanction, based on the regulations.
3. When issuing a sanction for a horse or user, it is possible to specify the type of a sanction, reasons (one or several), start date, end date, add the visible comments or internal comments, and specify the show, person or horse that is related to this sanction. For example, it is possible to link sanction on vaccinations to concrete event, where vaccinations were checked.
4. Administrator can issue, approve or decline a sanction.
5. In the system, there is a search interface with the list of sanctions and history of activities.

1. Klubbraport - overview of members´ participation statistics for last year.
2. Rytter- og ekvipasje oversikter - list of club members and pairs with basic statistics on their participation in competitions, i.e. number of shows, classes and starts, participation in Championships.
For organisers (organisations that have been involved in organisation of competions):
1. Arrangørrapport - report with basic statistics on shows, classes, starts.
2. Organiser´s revenue - Report on organiser´s revenue (starting fees and product fees)
3. Payouts from organiser Stripe account - The dashboard sums up the data on payouts from events' wallets to organiser´s account, to NRYF and Rytterkrets
4. Organiser´s operations: events - Operational dashboard to monitor shows´ management, publishing to calendar, opening registration, publishing results
5. Organiser´s operations: payments and finances - Dashboard allows monitoring not closed shows, debtors and open baskets for future shows.

Improvement - purchasing FEI products
An additional control added to FEI passport application form - if horse has an FEI number in the system, only passport renewals can be ordered and paid for. This help avoiding confusion, when horse owners order a new passport for a horse that already has one.
Purchasing of the FEI licence is restricted only to horses with FEI number added to the system. This helps avoiding misunderstandings in selling the FEI licence to horses that actually do not need this type of licence.

Option for Federation Administrator to mark the Federation/District fees as settled outside the system
When this checkbox in external payment modal is checked, the Federation fees (i.e. starting fees to Federation or/and District or platform fees per entry) will be considered as settled outside the system, not paid from the organiser´s show balance. Usually, when organiser marks entry fees as paid externally, the federation fees will become an expense that should be paid from organisers´ budget. When this check-box is checked, the full cost of the entry is brought outside the event balance and can be reconciled outside the payment system. This function can be used by Federation to invoice the debtors directly allowing to close the shows also with debtors.

There are two sections: 1. payables to organiser and 2. payables to Federation (3 EUR).
For each list a registrant person (payer), class, athlete, horse, outcome of registration and amount are specified. For organiser-specific payables, the payment status and the way of paying for Federation fees (event balance or external) are specified. When Federation fees are marked as paid from show balance, these fees will be subtracted from the organiser´s revenue and showed in Organiser statement as expense "Organiser funded fees to Federation".

Results-based qualifications´ checks launched for Jumping and Dressage
Qualifications are calculated automatically after the results are published. When results or class parameters are changed, qualifications would be re-calculated. We use both 2020 results that have been imrorted from HorsePro as well as results from 2021 that we already have in NRYFStevne.
Riders and horse owners can check qualifications from the rider or horse profiles - tab "Qualifications":
For Dressage, the qualiffications are calculated on individual basis, meaning that rider´s and horse´s qualifictaions are checked and calculated separately. For Jumping, qualifications are pair´s based and there are also some exceptions, i.e. riders who have achieved high-level results (GP).

NB! please note that we do not check special qualifications for Championships and/or for Cups. These qualifications should still be checked separately by the OCs and judges.

A new type of competition (class) is added and configured in the system: Aktivitet.
Aktivitet is a non-competitive class or any other activity with horses. It can be used for example for a demonstration class ( oppvisningsklasse).
Parameters:
- if the whole event has only Aktivitet-type of classes, organiser can publish and open registrations without asking for acceptance from district or national level. If show has other type of classes, for example, district or extended club, the approval works as usual. - During registration, no licences or green cards are required. - Equipe APP can be used and 20 kr pltaform fee is collected per start.

NEW - integration with NIF API
New API (data exchange service) wit club members´ register (NIF) has been taken into use
Club members are synced with NRYFStevne using a new API provided by the club register service by NIF. This API allows decreasing the number of duplicate accounts in the system.
NB! In order for the member´s account to be transferred to NRYFStevne, the club administrators should add the member to the group Ridning and also assing a discipline (Gren). Under this conditions, the club member is allowed to be synced to NRYFStevne.
An option to update the club member´s personal details upon login has been added. When member logs in to NRYFStevne, the personal data is automatically synced from the club member´s register (NIF).

After the details are added, the generation of the payout form would be put to a queue and organiser would get an access to the account number and name of the prize money receiver.

IMPROVEMENT - RESULTS PUBLICATION
Function to detect new class (added in Equipe APP), add class to NRYFStevne or ignore it and publish the results for this class
When exporting results from Equipe APP to NRYFStevne it might happen that organiser has added some new classes to Equipe APP that were not existing in NRYFStevne. This can be done for example for section B (a class with a separate ranking, different fees structure and diffrent judgement) or splitting or combining a class. A new class in Equipe APP might also be needed, when organising a competition on ad hoc basis or rearranging the existing classes.
When the results are brought back to NRYFStevne, such new classes will be shown in red box in the results´ interface:
There are two options to resolve such situation:
1. Create a new class, by pressing on a green button. For a new class you would need to specify the level, difficulty level, judgement and also fees. When class is created the results would be published automatically. There will be no need to re-export them. OR 2. Ignore a new class, by pressing on a red button "Ignore". When ignored, the class will disappear from the missing classes list and results will not be published nor visible anywhere. Please note that you cannot bring back an ignored class.

Automatic report sent by e-mail to organiser after results were exported from Equipe APP to NRYFStevne
A report will be sent next morning after the export of the results to the organiser´s representatives responsible for the show (persons who proposed show schedule to calendar and worked with results).
The report presents the following information:
- date and time of last export;
- status of the show;
- number of confirmed results;
- number of validation errors (if any) and data on errors as well as how to solve them;
- number of unclear entries (if any) and how to solve such cases;
- data on missing classes, i.e. classes added in Equipe APP that are not present in NRYFStevne and how to solve.

IMPROVEMENT - IMPORTANT
Automatic confirmation of all correct results after import from Equipe APP
After organiser checks and imports the results from Equipe APP to NRYFStevne, all correct results are confirmed and published automatically. The correct results are results that pass the automatic validations, i.e. licences checks for a rider and a horse, sections´ checks for a rider and a horse. When all entries have correct results, the whole class is marked as published. When atleast one entry requires attention (validations failed or no result entered for a valid registration), the class will be marked as "not published" and would require organiser´s attention to solve the issues.
Please check the status of the classes after exporting results to NRYFStevne and ask for help from the technical support team if you are not able to solve the issues with results.

NB! at this stage, we do not resettle the not paid entry fees or paid entry fees with prize money amount in credit transfer forms. The first version of dashboard to monitor and manage classes´ settings is released
The dashboard is available for organisers and is meant to monitor and manage te registration process for competition classes. The dashboard is composed of the following parts:
1. Statistical overview of the registrations for the show:

The classes that do not accept registrations any more, incl locked classes or classes with max limit reached are shown on red background. Configurations - IMPORTANT
Changes in scheduling of unregistration of not paid entries after the registration end date is passed
We have noticed that some organisers would like to import entries to Equipe APP straight after the registration end date (the same night). To avoid importing not paid entries and also payments for the entries in classes with max limit exceeded, the following changes have been done in the configurations:
- All not paid entries and products will be unregistered at 00:01 the next day after the registration deadline;
- All payments confirmed after 00:01 (for entries and products that should be unregistered) will be put to returns account and returned to the users if not used for other registrations in the same show.
The organisers are still advised to wait for 30 minutes before proceeding exporting the entries to Equipe APP.

Option to close public registrations for the whole show
When show is open for registration, in case of emergency, organiser can stop accepting registrations for the whole show. Closing registration will stop both new entries and payments for already existing entries. Already registered entries can be unregistered by athletes before the registration end date.
NB! Closing registrations and payments works only when show has registration ongoing! After the registration deadline, when registration is ended, the organiser has still the possibility to add late entries to the masterlist and athletes would have the possibility to pay for shopping baskets.

Improvement of Equipe APP integration and payments
Syncing the payer between Equipe APP and NRYFStevne for new riders added to the show through Equipe APP
When adding a new rider through Equipe APP and defining a payer person (NB! should be searched through the NRYFStevne database from the users existing in NRYFStevne), the payer would be synced between two systems when exporting the results. Shopping basket would be created for the payer person. If payer is left balnk in Equipe APP, the rider will be marked as payer in NRYFStevne.
Please note, in Equipe APP if the horse that is added to the new rider has already starts with other payer, the payer will be copied by default from the existing registration. Please change the payer before exporting results to NRYFStevne.
The change of payer in Equipe APP for Rider/Horse combinations imported from NRYFStevne doesn´t impact the payer (payer is not synced) for such Rider/Horse combinations. New classes will be added under the same registration form. If you need to split the payment for Rider/Horse combination between several payers, i.e. for class 1 pays payer A for class B pays payer B, these registrations should be done through NRYFStevne and payer changed before saving the registration.

The validity of the horse´s annual licence starts from 1st of January of the current year
By default, disregarding the payment date for the horse licence, the licence validity starts always from the 1st of January of the current year. This allows the horse owners in case of the late entry to pay for the licence after the show. Changes in recording the results, results import from Equipe APP and implications for economy and fees
Based on discussions with organisers and federation, the following changes have been done:
- "Late entry starting fee" removed from the configuration of fees.
- "Withdrawal" is configured in a way that it doesn´t require any fees to be paid.
- "Early withdrawal" removed from the configuration of results as "withdrawal" can be added directly from Equipe APP and if needed organiser can also use "changed" resolution. All "early withdrawal" and "withdrawal" resolutions for shows with open economy in NRYFStevne recalculated and settlements done, if persons have paid more than requested, fees put to returns and will be paid out to users after economy will be closed.

Limiting number of entries and products - blocking payments when max limit of entries is reached
For shows and clinics that use payments service, the registrations´ limitation feature has been improved as following: - When the number of paid and confirmed entries per day, per competition or product is reached, the user is not able to pay for the entries in the shopping basket. All not paid entries and products will be automatically unregistered after the registration deadline; - User will see the message in the shopping basket stating that the limit of entries for competition class is reached and organiser should be contacted for further options:
- In the text of the message, we will display also the contact e-mail of organiser for this event inviting users to contact organiser if they would like to be added to a waiting list (in case there will be withdrawals and some spots will become vacant).
- If the day limit applies and there is one vacant spot left, but user has several entries to pay, we will display an error message asking to pay for only one entry as the number of entries doesn´t match the limitations.
NB! In situations, when the payments for registrations are done simultaneously, the button "Purchase" is pressed at the same momement, both payments will be accepted and entries confirmed. To avoid misunderstandings, for very popular shows or classes we advice setting limit 2-3% less than the real capacity. This would help covering the so called edge cases. For example, in case of 250 max capacity, it is advisable to set the max limit to 245. NB!! The limiting of payments based on max limits set for class or for the day works only when the show is in "Registration open" status. After the regustration deadline, organiser can add the entries and payments will be allowed. The assumption is that all not paid entries will be unregistered automatically after the registration deadline.

Different payment options for competition classes
- In some cases, i.e. team competitions or combined classes, there might be a need to collect all entry fees outside the system. For example, by issuing an invoice to a team sponsor or billing a club. To manage such cases, we have introduced an option to apply the "paid externally" regime for the whole class. Organiser will collect the fees, including the federation fees. Note the federation fees will be deducted from the organiser´s revenue. If there are not enough funds, the organiser will need to top-up the event balance to be able to pay the fees to federation.
- As default, the class has always "fees are paid online" option selected. To change the payment option, go to Edit/Add class form and click on "additional options", change the payment option for "Fees are not collected online from participants" and save the class.

NEW feature
In some cases, organiser accepts payments for late entries externally (i.e. in cash or via other payment methods) or decide that no payment should be taken from a participant (i.e. in case of so called wild cards or previous wins or vouchers). This new feature will help to address such cases and avoid double invoicing for late entries.
How the feature works:
- When the results are transferred from Equipe APP and confirmed, for all entries that are not paid, organiser will see the money-button:
- Click on the button, select the payment option and leave a comment. The comment will be stored in the system for future reference.
- Entry will be marked as "paid externally" and shopping basket of the person will be recalculated. All payables will be removed.
- The organiser´s revenue will be charged with the federations fees as it is assumed that organiser has also received the federation fees outside the system and would need to transfer them to federation.
- Please note that after publication of the results, the automatic letters to payers (informing of the obligation to pay the late entry fees) will be send out next day. It is important to mark the externally paid entries before this automatic procedure. Otherwise the athletes will get payment obligation notifications.
- If needed organizer can change the settings for the payment back to the original. After the entry is paid, the settings cannot be changed any more.

Improvement
Improvements in adding the alerts to show (in add/edit event form):
- It is possible to add a link to alert field; - A counter of number symbols added to prevent too long texts that wouldn´t fit into desktop and mobile event card component. Overall ca 200 symbols is the max length of the alert text.

Formatted masterlists for Driving and Vaulting shows
Driving and Vaulting do not have Equipe APP support and some of the shows are run using excel for managing starting lists and results. A formatted excel exports were developed for these disciplines. They can be accessed from the Masterlist - click on Download entries - Excel special format. As an outcome, you will get a formatted excel with all starts marked per class and other information:
For Vaulting, there are two formats that can be downloaded. In the second format, the family name and club name of athletes and lungers are in separate columns.

Roles-based configurations for People search page
Upon request from the data controller (Federation), configurations have been done to restrict access to users´ accounts from People search interface. Users can search only for users with active professional qualifications, active roles, licences for the current season and/or registrations. Other users´ accounts do not appear from search.

Results reporting form rolled-out
Riders and horses can get qualifications from shows that took place abroad at both national and international levels. Results from foreign shows are also valuable for statistical purposes. The results reporting form allows riders to bring in their results to the database and to have a full record of the results under her/his profile.
The form is accessible from the riders´ profile, results tab.

The following steps should be followed to complete and submit the form.
1. Search for a show in calendar - once the first rider reported the results the show will be added to calendar and the show related information will not be collected twice.
2. Press continue and add show details if the show is not found in the calendar
3. Add participants - a rider can add all horses that she/he rode during the show from the same form.
4. Add classes - details requested for calculation of qualifications and statistical purposes are compulsory. Once a class is added and confirmed other participants will not need to fill this data again, they can go directly to results section.
5. Add results - several results for athlete-horse combination can be added.
6. Submit the form - when in the form is submitted, it will appear in the dashboard for Federation administrator. Administrator can review the details in the form, open and edit the form, accept or reject the application.

Automatic payout of returns
Automatic payouts of returns for unregistered (cancelled) entries and products activated and taken into use. The payouts scheduled for next day (around 04:00 in the morning) after money has been put to returns account, i.e. after person has cancelled the registration or show has been cancelled. The automated payouts are supported for the following event statuses: registration open, registration closed, show is cancelled.

Multiple registrations for athlete/horse combination for users with delegated rights
The primary use case for this feature is when there is a need to split payments for the same athlete/horse combination between different payers. For example, horse´s owner would like to pay for class 2 and athlete would like to pay for classes 5 and 10. After the first registration is done (for example, for class 2) and the second user starts registering to the same show, in the registration form, she/he will see that the class 2 is locked. The second user can add the rest of the classes. The feature can be used together with the delegated rights feature.

Choosing the payer / registration responsible person
Organisers and federation administrators can choose the payer / responsible person when initiating the registration by themselves. When payer / registrant person is different from athlete, the payment for the entries and products will be directed to the payer / registrant person shopping basket. This feature can be used to handle the following cases:
- For late entries (done in the system before importing entries to Equipe APP), a parent or horse owner or sponsor of athlete can be chosen as payer / registrant person if so requested during the late entry announcement (when person contacts the club administrator).
- To solve special cases, when sponsor or horse owner asks to make the registration on his/her behalf (for example, when sponsor would like to pay for the whole team´s starting fees). In such cases the organiser can assist with registrations and for all athlete/horse combinations select the requested payer.
When payer should be different from athlete, remove the athlete name from payer field and search by person registration number or by name for a new payer. Note that in case of similar names, it will be safer to use registration number to avoid mistakes. The payer / registrant person can be changed only in new registrations, there will be no possibility to change the payer after registration is saved.

Team competitions integration with Equipe APP
This feature applies for team classes in dressage, jumping and eventing. Add the class as usually and mark it as team class in the settings. Collect fees as usually (per pair).
For competitions marked as "team" competitions, the following adjustments has been done:
- During the registration to the team class, a team name is asked. The team name can be typed in or selected from the list of teams already entered for this show and from previous teams for this athlete/horse combination. The short name of club will be offered as one possible version for club name. These defaults will help avoiding the mistyping of team names by team members. Still it will be good to add to special provisions a message that team name should be identical for members of the same team.
- In participants list (the list by class), the teams composition will be shown before the main list
- The name of the team for each team class entry will also be shown in masterlist and for athlete and horse in the Upcoming section on their profiles:
- Transfer results to Equipe APP as usually. In Equipe APP, all teams will be created for you and athletes placed under correct teams. While making changes to starting list, organizer can add new teams or change the athletes´ teams.
- Export of the results, review and approve results work as usually. After being approved, the results will be shown as a breakdown per team with individual result for each pair.

Possibility to make public/visible user´s contact data (e-mail and phone). Publication of contact data (e-mail or phone number) are now configurable. User can check ON the check-boxes under their profile if e-mail or phone number should be visible for all. This function can be used by officials or club administrators if they wish to publish their contacts for public use.

Filter "Regions" added to the People search interface allowing for searching for athletes or officials belonging to clubs under certain region. This filter can be helpful in searching for officials when somebody is looking for official for the show in her/his region.
