Setting up a show using Meeting model

In this article, we describe how Meeting model can be used in NRYFStevne and how to set-up a show using meeting approach.

Conditions:

Participants pay a Meeting fees that allows participating in several classes and usually includes also stabling fees.
In some cases, Meeting fee includes also NRYF avgift and platform fees, in some cases Meeting fee can be limited to starting fees and all additional fees should be paid by participants.
In case of no show - a no show fee should be paid. A no show fee is usually around 50% of meeting fees.

Set-up:

Meeting classes

1st version (NRYF avgift and platform fees are not included in meeting fee)

Add Meeting classes as usually to schedule - do not enter any starting fees, NRYF avgift and platform fees will be calculated automatically. Allow participants to register to classes as usually (see Landsmesterskap show as example)

2nd version (NRYF avgift and platform fees are included in meeting fee)

Add administrative classes to collect registrations to different categories, for example, Ponni, Children or Junior riders. Administrative class means that no fees will be collected and class is considered as administrative listing or scores summary.

Example of administrative class in schedule:

Add regular Meeting classes to schedule, mark that NRYF fees and platform fees will not be collected online from participants, but will be paid from the organizer´s revenue (see picture below) and if there is a need to it is also possible to lock class for public registration. When locked, entries will be copied to classes in Equipe APP from administrative list of the correspondent category and NRYF fees will be deducted from organizer´s revenue after results are exported to NRYFStevne. If class is not locked, participants will register to classes of their interest and NRYF avgift and platform fee will be deducted from organizer´s revenue during registration.

Add Meeting fee to product list using an option to register online for free and pay for meeting in show office.

Please note, when Meeting product list will be exported from Equipe APP, we will recalculate payments based on the registration´s statuses marked in Equipe APP. See more:

No show fees for meeting

No show fees can be collected via invoicing in Equipe APP

No show product can be added to NRYFStevne (lock it for registration) and mark that fee should be paid online. This empty list will then be imported to Equipe APP together with other product lists and classes.
During the show, pairs from Meeting list that didn´t show up, can be marked as no show or changed in Meeting list and copied to No show list. When No show list will be brought back from Equipe APP to NRYFStevne, people in No show list will be invoiced and get a no show fee to their shopping basket.
If Meeting fee has previously been paid in NRYFStevne or there have been some other fees collected and returned for this event (available on user´s returns balance), shopping basket will be recalculated - part of the previously paid fees will be used to cover no show costs and part will be returned.
